Etiology reviews medical records and billing for insurance claims payers. This policy explains what we do with information from this website, and how we handle the confidential medical records a client sends us for review. Written in terms a risk officer can check, not a seal to take on faith.

Who we are
A records-review firm, not a law firm.
Etiology LLC is a Louisiana records-review firm based in Metairie. It reviews medical records and billing and classifies each charge against the record. It provides no legal, medical, or claims-adjusting advice. Every record it reviews is held under a written confidentiality obligation to the client.
Two kinds of information
Website visitors, and records under review.
This policy covers two separate things. The first is information from people who visit this website. The second is the confidential medical records a client sends Etiology to review, which are governed by the engagement contract with that client. They are handled very differently, so they are described separately below.
Website information
The website collects almost nothing.
This site sets no cookies and runs no advertising or cross-site tracking. It has no sign-up, no account, and no web form that collects your data. If you email an address on this site, that message is received through our business email so we can reply; we use it to respond to you and for nothing else.
Like any website, ours is served through infrastructure that keeps standard, short- lived technical logs (for example, request and error logs used to keep the site available and secure). Those logs are operational and are not used to profile you or sold to anyone. No protected health information is ever placed on this public website.
Records under review
Records are used for the review, and nothing else.
Every record a client sends is confidential medical information. Etiology receives it only after a written confidentiality obligation is in place, uses it solely to perform the contracted review, and uses it for nothing else. Records are not sold, and no client record is ever used to train any artificial-intelligence model.
Records move through an established, access-controlled service, never ordinary email. Data is encrypted in transit and at rest, and access is limited to the review under a minimum-necessary rule. The analysis runs on Anthropic's Claude models under zero data retention terms, so nothing a client sends is kept by the model after the review. Each determination cites the record page it rests on, so the client can pull the page and audit the call; the work is independently verified before delivery.
After the engagement closes, the working set is destroyed on a defined schedule, and a certificate of destruction is available on request.
Who else touches the data
A short, named list of subprocessors.
Etiology uses a small number of established service providers to do the work, each bound by an agreement that protects the data: Anthropic (Claude, the AI analysis layer, under zero data retention with no training on client data); Google (Google Workspace, for secure receipt and storage of the working record set and for firm email, under its enterprise data-protection terms); and Cloudflare (which hosts this public website and never receives client records). Etiology uses no other reviewers or subcontractors, does not sell data, and will tell affected clients before it changes a provider that handles their records.
Individual rights
Requests run through the client.
Etiology does not hold records of its own. If your medical records were reviewed as part of a claim, they came from the organization handling that claim, and that organization is the point of contact for any request about them. Your rights in records still held by the hospitals, clinics and health plans that treated you are unaffected by our review and run against those providers directly. Direct requests to the organization handling the claim; we assist them as our agreement requires.
Not directed to individuals or children
This is a business service.
Etiology's services are provided to insurance claims payers and similar organizations, not to consumers, and this website is not directed to children. We do not knowingly collect personal information from individuals through this site.
Changes
Updates to this policy.
We may update this policy as the business or its practices change. The current version, with its date, is always the one posted here. Where the engagement contract with a client says something more specific about that client's data, that agreement controls for that engagement.
